NEN 3140 and your AV installation: has it been safety-inspected?

Your sound system is up on the wall, it runs every day, and you don’t give it a second thought. Until something goes wrong: an insurer asking for your inspection records after an incident, or an inspector who wants to see your electrical safety. Then it turns out the installation has never been checked for safety. That’s the moment NEN 3140 suddenly matters, and by then you’re too late.

So, briefly and without the panic: what is it, and what does it mean for you?

What NEN 3140 is

NEN 3140 is the Dutch standard for the safe use of electrical installations and equipment in the workplace. It describes how to check periodically that fixed installations and portable equipment are still safe. For your venue, that covers your fixed sound, lighting and video equipment, the cabling, the amplifiers and everything plugged into the mains.

An inspected installation gets a sticker or report showing that it’s been checked, and when. It shows you take your responsibility as an employer and business owner seriously.

Why it concerns you

There are 3 reasons, each more unpleasant than the last.

Safety. Equipment wears. Cables get damaged, connectors work loose, and an amplifier that’s been running warm for years can fail in ways you can’t see. An inspection catches that before it turns into a fire or an electric shock. In a space full of guests, that’s hardly an optional extra.

Insurance. Many insurers expect you to have your electrical installations inspected periodically, often with a separate fire-risk inspection (SCIOS Scope 10) alongside the NEN 3140 inspection. If something happens and you can’t show an inspection report, you risk your insurer refusing to pay out. Whatever you saved by skipping the inspection is nothing next to the damage you’d then carry yourself.

Liability. As an employer you’re responsible for a safe workplace. If someone is injured by equipment that wasn’t inspected, you as the business owner can be held liable.

How often, and by whom?

How often you need an inspection depends on the type of equipment and how hard you use it. Equipment under heavy load gets checked more often than something that’s rarely switched on. In practice you’ll often see an interval of 2 to 5 years for the fixed installation, and portable equipment is usually inspected every year. The right interval depends on your situation.

The inspection itself is done by a qualified inspector with the right test equipment. You can’t just do this yourself on the side: it takes knowledge and proper tools to judge it correctly.

Combine it with maintenance

The smartest approach is to tie the inspection to the maintenance of your installation. That way one person checks, in one go, that everything is safe and that it all still works. A loose speaker, an amplifier running hot, software that needs an update: it all comes up in the same visit.

Put it on fixed dates. Then you no longer have to remember when you last had an inspection, and your paperwork is in order when someone asks for it. That takes it off your mind, and off your list of risks.

What to do now

Don’t know when your AV installation was last inspected, or has it never been done? Then now’s the time to sort it. We’ll come round, look at your installation and tell you what’s needed. Just a clear picture of where you stand.

Frequently asked questions

Is NEN 3140 inspection mandatory for my hospitality business?

The law doesn’t name the standard itself. The Arbowet (the Dutch Working Conditions Act) requires you as an employer to provide a safe workplace, and article 7.4a of the Arbobesluit (the Working Conditions Decree) requires periodic inspection of your work equipment by a qualified person. NEN 3140 is the usual way to show you meet that for electrical installations. Many insurers also ask for periodic inspection. So in practice, you can’t really skip it.

What does an inspection check?

A qualified inspector checks your fixed installation and portable equipment for electrical safety: cabling, connectors, amplifiers and everything connected to the mains. You get a report or sticker with the date of inspection.

How often do I need an inspection?

That depends on the type of equipment and how intensively you use it. Heavily used equipment gets inspected more often. Portable equipment is usually done every year, the fixed installation often every 2 to 5 years. We set the right interval based on your situation.

Can I do the inspection myself?

No. An inspection takes knowledge and the right test equipment to judge properly. It’s a job for a qualified inspector.

What happens if I skip the inspection and something goes wrong?

You risk your insurer refusing to pay out, and you as the business owner being liable for any injury. What you save by skipping the inspection doesn’t come close to those costs.
