Privacy statement Massive Pro AV

You leave details with us when you request a quote, hire something or sign up for our newsletter. This page explains what we do with them, who we share them with and how to get them back or have them deleted.

Who we are

Massive Pro AV is a trade name of Massive Productions, Industrieweg 71, 3044 AS Rotterdam, the Netherlands, Chamber of Commerce (KvK) 17167233. We are responsible for what happens to your data.

What data we process

Mostly what you give us yourself:

  • name, email address and phone number
  • company or organisation, address and billing address
  • details about your event or project: date, venue, number of guests and what you need
  • whatever you write in a form or email
  • for a job: quotes, invoices and payment details
  • for hire: a copy of your ID, your date of birth and proof of address (usually a letter addressed to you)

Please cover your BSN (Dutch citizen service number) and passport photo on the copy of your ID, for example with the Dutch government’s KopieID app. We don’t need them.

When you visit the site, your browser sends technical data along, such as your IP address and the pages you view. We only use that for statistics and advertising if you consent (see Cookies).

What we use it for, and on what basis

  • Answering your request or question. Basis: the contract you want to enter into with us, or our legitimate interest in answering your question.
  • Carrying out, delivering and invoicing hire, installation or production work. Basis: the contract.
  • Checking who we hand equipment to when you hire. Basis: the contract, and our legitimate interest in preventing theft and fraud.
  • Keeping our accounts. Basis: a legal obligation.
  • Sending our newsletter and downloads. Basis: your consent. You can unsubscribe at the bottom of every email.
  • Statistics, and measuring which ad leads to a request. Basis: your consent through the cookie banner.
  • Keeping the website secure and working. Basis: our legitimate interest.

We don’t sell your data. We never let a computer make a decision about you on its own.

Who we share data with

Only with parties we need to run the site and our work. They process your data on our behalf:

  • Ivan IT: website management and hosting.
  • Mailgun (Mailgun Technologies, USA): sends the emails from the forms on this site, through Mailgun’s European region.
  • Brevo (France): our newsletter and the emails with downloads.
  • Rentman: our planning software. A request from the webshop arrives there as a project.
  • Google (Google Ireland): Google Analytics for statistics, Google Ads to measure which ad leads to a request and Google Maps on the contact page.

Mailgun and Google may also process data outside the EU. When they do, it happens under the arrangements the EU allows for that. Beyond this, we only pass on data when the law requires us to.

Cookies

On your first visit the cookie banner asks what you allow. If you decline, or choose nothing, we only place what the site needs to work.

  • Functional (always active): your cookie choice, your basket in the webshop and your choice to see prices with or without VAT.
  • Statistics (with consent): Google Analytics. It shows us which pages get read and where visitors drop off.
  • Marketing (with consent): Google Ads. It shows us which ad leads to a request.

Google Analytics and Google Ads use consent mode. Without your consent they place no cookies, and Google only receives limited signals without cookies.

The Google Maps map on the contact page only loads once you allow it.

The webshop also remembers which site or campaign brought you in (WooCommerce). We only see that if you send a request from the shop.

The mpv_btw cookie remembers your choice to see prices with or without VAT. We only set it when you click the switch in the webshop, and it stays for 30 days.

The buttons to Facebook, Instagram, LinkedIn and YouTube are plain links. Those services only get anything from you once you click them.

How long we keep data

No longer than necessary:

  • requests and email conversations: as long as needed for your request and any follow-up questions
  • copy of ID, date of birth and proof of address for hire: no longer than needed for that hire
  • quotes, invoices and accounts: 7 years, as Dutch tax law requires
  • newsletter: until you unsubscribe

Security

We protect your data with appropriate measures, such as an encrypted connection (https) across the whole site.

Your rights

You can view your data, have it corrected or have it deleted. You can also object to its use, have its use restricted or ask for your data in a common file format. If you gave consent, you can withdraw it at any time.

Send your request to info@massivepro.nl. We respond within one month.

Complaints

Not happy with how we handle your data? Tell us first at info@massivepro.nl and we’ll look at it together. You can also lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Changes

If anything changes in how we handle data, we update this statement. The date of the latest version is at the top.
